Regulatory Innovation & Information Management (RIIM) is a department within Global Regulatory Affairs & Clinical Safety (GRACS) Operations, Processes, and Systems (O.P.S.) that drives innovation, digital transformation, and operational excellence across regulatory processes. RIIM colleagues play a pivotal role in ensuring the operational integrity, compliance, and strategic alignment of Regulatory systems and AI/Hyperautomation solutions that support the execution of our Research & Development Division Book of Business. The Hyperautomation, AI, and Strategic Innovation Management (HAI-SIM) team within RIIM enables cutting-edge digital solutions to manage information across GRACS. HAI-SIM is comprised of three key focus areas: Hyperautomation & AI, Information Management Systems, and Strategic Initiatives and Communications.
The Strategic Initiatives and Communications Senior Specialist will provide program management, change management, and communications support for the Accelerate Regulatory Capabilities (ARC) Veeva transformation program and broader GRACS Digital Strategy initiatives. This individual will play a pivotal role in coordinating program activities and deliverables while delivering high-impact communications and presentations for various audiences.
Key Responsibilities:
- Program Coordination & Project Management:
- Support the ARC Program Management Office (PMO) with coordination across workstreams, including scheduling, tracking milestones, and preparing updates for stakeholder forums such as the ARC PMO, Core Team, Steering Committee, and Executive Sponsor meetings.
- Provide Project Management support for GRACS Digital Strategy, ensuring all timelines, deliverables, content inputs, speakers, presentation materials, and communications are ready on time and meet quality expectations.
- Communications & Storytelling
- Develop compelling, visually engaging slide decks and communication materials for cross-functional audiences across various levels of the organization (e.g., GRACS Digital Strategy Forum, ARC Executive Sponsors, etc.).
- Author clear, concise written communications related to strategic initiatives and RIIM systems (e.g., email announcements, newsletters).
- Digital Content Creation & Platform Management
- Maintain and enhance the ARC and GRACS Digital Strategy Sync sites, ensuring content is current, accessible, and aligned with branding guidelines.
- Develop multichannel creative content, such as videos, podcasts, interactive materials, etc.
Education:
- Bachelor’s Degree plus 5-8 years of relevant experience
- Preferred 5+ years Project Management, Change Management, and/or Communications related experience.
Experience and Skills
- Effective Communication: High level of proficiency in English, with the ability to communicate effectively in both verbal and written formats. Capable of articulating ideas and feedback in a concise and coherent manner, ensuring that all communications are easily understood by diverse audiences. Strong grammar, vocabulary, and comprehension skills are essential to facilitate smooth and professional interactions.
- Interpersonal Skills/Team Collaboration: Ability to work well with others and build trust-based relationships across functions and geographies.
- Digital Fluency: Comfortable using tools like MS Teams, SharePoint, PowerPoint, Word, Excel, Copilot. Quick to pick up new systems and technologies, and maximizes their use to drive efficiencies in day-to-day work.
- Time Management and Organization: Strong organizational skills to manage multiple time-sensitive assignments and prioritize effectively. Manages multiple tasks and deadlines with ease, keeping things on track even when priorities overlap or shift.
- Adaptability: Adapts smoothly to changes in processes, tools, or team dynamics, and stays up to date with evolving ways of working.
- Problem Solving and Critical Thinking: Ability to independently identify and resolve problems that arise within job responsibilities, ensuring a proactive approach to challenges.
- Creativity and Innovation: Ability to generate new ideas and engaging content that will resonate with target audiences.
