Overview

The Singapore Tech Center is seeking an experienced and proactive Administrative Executive to deliver comprehensive administrative and operational support to our leadership and teams. This role is pivotal in ensuring the efficient and seamless functioning of our office, supporting local and regional activities, and enabling business continuity at every level.

Key Responsibilities

  • Calendar and meeting management: Efficiently manage complex calendars, schedule appointments, organize meetings, and coordinate phone or video conferences across multiple countries and time zones. Ensure all engagements are arranged in a timely and efficient manner.
  • Event and travel coordination: Arrange travel logistics, including flights, accommodations, and visa applications, for both local and overseas trips. Prepare travel expenses and business claims promptly using Concur.
  • Administrative and office support: Provide comprehensive general administrative support, including onboarding new staff, preparing purchase requests and orders, handling accruals, monitoring payments, and supporting marketing activities.
  • Leadership and internal events: Organize and support key leadership events, such as Asia Pacific Leadership Team meetings and other important internal activities. Manage logistics, catering, and agenda preparation for departmental and organization-wide events.
  • Business continuity and project support: Contribute to the Admin Shared Service Model, assist with department-specific projects, and demonstrate flexibility in adapting to evolving business needs.
  • Stakeholder management: Build positive working relationships with internal and external stakeholders. Serve as a point of contact for departmental queries and interface with various departments to ensure smooth operations.
  • Expense management: Prepare and submit expense claims accurately and within specified timelines.
  • Support for visiting staff: Provide logistical support and meeting coordination for visiting staff, ensuring a seamless experience during their stay.
  • Confidentiality and professionalism: Exercise a high level of discretion, professionalism, and confidentiality in all interactions and tasks.

Requirements

  • Diploma, degree, or equivalent; additional certifications in administration, secretarial, or related fields are an advantage.
  • Minimum 5 years of relevant experience in administrative roles, including calendar management, travel coordination, expense management, and event organization—ideally within a multinational or matrix environment.
  • Proficient in SAP Concur and Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong organizational, planning, and resource management skills with the ability to manage multiple priorities efficiently.
  • Demonstrated problem-solving skills and a positive, proactive attitude.
  • Capable of supporting multiple managers and large teams, and comfortable working across different time zones as needed.
  • Excellent interpersonal and communication skills; experience working as part of a diverse team.
  • Eagerness to learn new skills and adapt to changing business requirements.
