Job Description

The Associate Vice President of Analytical Enabling Capabilities in our company's Research Labs has an opening for a Sr. Associate, Administrative Assistant. Candidates must have an interest in and ability to work successfully in a fast-paced, complex work environment. The ideal candidate is a highly motivated and polished professional capable of prioritizing work, demonstrating exceptional organizational and proactive problem-solving skills, professional communication skills, flexibility and teamwork as well experience navigating across an enterprise to access resources and solutions as needed.

Job responsibilities include, but are not limited to:

  • Administrative support to include extensive calendar management, meeting management (including meetings with external colleagues), phone coverage, processing expense reports, coordinating travel and updating weekly schedules.

  • Work requires the coordination and performance of multiple tasks and technical skills related to work assignments.

  • Coordination of work and tasks will require the individual to work well with colleagues across sites and time zones.

  • Interact with team colleagues and understand administrative interdependencies in work.

  • A working knowledge of the priorities of the team and company policies, which allows for an efficiently run department and a focus on key aspects of work.

  • Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity and problem-solving skills with minimal supervision.

  • Communication skills must be at a level to effectively interact with our company's executives and their assistants as well as internal/external clients both on-site and remotely to maintain relations.

  • May coordinate special projects within the division/area.

Location/commute

  • This role is based at our headquarters site in Rahway (NJ, USA).

  • We offer a hybrid setup.

Position Qualifications:

Education Minimum Requirement:

  • High School Diploma or Equivalent

Required Experience and Skills**:

  • Minimum of (10) years Administrative Assistant experience

  • Minimum of (5) years Administrative experience supporting Executive Directors and above (preferred AVP level roles)

  • Advanced computer skills using Office 365 (MS Outlook, Word, Excel, Power Point, Visio, Concur)

  • Digitally savvy with intellectual curiosity to learn more in the digital space

  • Ability to handle and prioritize a large number of simultaneous assignments

  • Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel and processing Visa/Passport Applications

  • Event planning/coordination experience

  • Extraordinary attention to detail and handling of confidential/sensitive information

  • Outstanding communication and people skills

  • Proficiency with SAP, Workday, Ariba or related software programs preferred

U.S. Hybrid Work Model
